Internal Artwork Loans

Enriching space and place.

Works of art from the Flinders University Museum of Art (FUMA) Collections are available for loan in approved University spaces at Bedford Park, Tonsley and City Campus.

This includes in secure, public areas such as college fronts and meeting rooms as well as in the private offices of the University’s Senior Executive Team and Deans. Artwork is generally not available for tearooms, corridors or teaching spaces, or in areas that cannot be easily monitored.

The process

The Internal Artwork Loans process is coordinated by the College Space and Project Team in partnership with FUMA.

Loan requests are submitted via Service One through the ‘Ordering furniture or loaning artwork’ link.  

Once received a College Space and Project Coordinator (CSPC) will follow up the request and visit your space in person to better understand your requirements and ensure proposed artwork locations are suitable.   The CSPC will also outline the terms, conditions and costs associated with the artwork loan and confirm that budget is available for this purpose.  

Once approved, loan requests will be forwarded to FUMA.   Our team will work with you to select artworks.  We will prepare the artwork for loan, provide an artwork label and oversee installation. 

Artworks will be installed in prescribed periods typically during semester breaks.

Cost

Fees are levied on all internal loans which are calculated at a cost of $200 per artwork for curatorial services. The cost of installation is charged separately at a rate of $60 per hour. Fees are incurred once the loan is set up and billed via journal.  

Artwork selection

There are more than 8000 artworks in the FUMA collections which comprise mainly prints and paintings. FUMA staff will discuss preferences with you and take existing furniture and colour schemes into consideration before providing a shortlist of recommended artworks for your consideration.

Paperwork

Once artwork selections have been finalised, FUMA will organise the loan agreement, which will include Terms and Conditions below. The loan agreement is made between FUMA and the relevant College or Portfolio and needs to be signed off by the Director of College Services or equivalent.

Installation

FUMA will coordinate delivery and installation of the artwork on receipt of the loan agreement. Artwork will be hung by a professional installer under the supervision of FUMA.  

Terms and Conditions

  • Artworks can only be installed on walls that are fit for purpose.  Any preparation or remediation required (e.g., patching, painting, installation of hanging track where walls are inappropriate for screws) will need to be arranged by the lender in consultation with the CSPC.
  • FUMA reserves the right to recall artwork at any time. Should this occur within the first 2 years of the loan agreement, a replacement artwork will be arranged at no additional charge.
  • Payment is due within 30 days of journal which will be issued once the installation is complete.
  • Installation, handling and packing of works will be under the professional supervision of FUMA. 
  • Works will not be removed or relocated without the written permission of FUMA.
  • FUMA will be immediately advised if building maintenance or otherwise will be taking place in the vicinity of the artwork at any time.
  • Artwork will be insured under the University’s policy however the recipient will be liable for the payment of any excess on the insurance cover should a claim arise. 
  • Damages, however minor, will be reported to FUMA immediately. 
  • Works on loan will be subject to regular condition checks.
  • Requests to return artworks to FUMA should be placed through the ‘Ordering furniture or loaning artwork’ link.

Housed at Flinders University, Bedford Park, works are accessible by appointment. 
Collections services include Image Reproduction, Institutional Loans and Research.
