Thank you for choosing to hold your event at Flinders University Tonsley. Please ensure you have read and understood the following information and guidelines. When confirming a booking you agree to the following.
Ground floor and levels 1, 2, 3, 4 and 5 are equipped with kitchen facilities including instant boiling and chilled filtered water. A catering fridge is also available in the Loading Dock on the ground floor and Level 5. Crockery is available for staff use only. Caterers and event organisers are required to provide their own crockery and utensils. Cooking onsite, within the building, is not permitted. BBQ facilities are available outside the building. Please refer to the Tonsley room set-up guide for available set-ups/furniture. The Customer Service team will arrange requested room set-ups for the following managed spaces - Exhibition Foyer, Room 5.29 or 5.30.
To request additional services for your event or meeting such trestle tables, cleaning, after hours lighting and air-conditioning, Security or set-ups in all other rooms please raise a Service One request.
At the conclusion of your event, please ensure the room is clean and tidy, all materials and rubbish has been removed in preparation for the next user.
Please note:
Wireless internet access is available for Flinders staff and students by connecting to ‘eduroam’ network (FAN and password required).

It is the responsibility of the event organiser to organise any catering including tea and coffee service. Where caterers are providing onsite services such as the service of food and hot beverages, it is the responsibility of the event organiser to ensure the caterer is registered (they have the required insurance etc) and have undertaken a local induction prior to the provision of service.

Non-registered caterers will be restricted to drop off and pick-up service only.
It is the responsibility of the event organiser to ensure all catering and equipment is removed from room(s) at conclusion of your booking to ensure the room is ready for the next user.
The caterer is responsible for ensuring all items are collected on the day of the booking. If this is not possible i.e. their business closes before the event finishes, items are to be collected the next morning.
Should you wish to provide your own catering this is also permitted. Cooking onsite, within the building, is not permitted.
There are three cafes located at Tonsley which may be able to assist with your catering enquiry:

If you are serving alcohol, please complete the University Liquor Permit Application (PDF) and upload into Service One for approval.
It is the organiser’s responsibility to ensure that the correct permit is in place.
Please note that Property, Facilities and Development will send a copy of approved permit to Tonsley Security.
Tonsley is accessible to the public between 8am and 6pm Monday to Friday. After-hours access for events in managed spaces (Exhibition Foyer & Rooms 5.29 & 5.30) will be arranged by the Customer Service team as part of your booking. After-hours access for events in non-managed spaces can be arranged by creating a Non urgent security support request via Service One. Please note, public access outside these hours, including weekends, may be subject to an additional fee for security services. Please contact Security for more information.
Walkways and public areas, including emergency exits, are to remain clear at all times.
It is the responsibility of the event organiser to operate any AV/IT equipment during an event. If assistance is required note that all technical issues need to be referred to the Audio Visual and Lecture Theatre support team on 8201 2345 (option 1) between 8.30am to 5.00pm Monday to Friday.
If you would like to arrange a test-run of AV equipment prior to your event, please contact the Customer Service team to organise an appointment. Tonsley staff will not take responsibility if presentations are not displaying properly if they have not been tested prior to the event.
Under no circumstances should AV equipment be moved from the room. If equipment is faulty, damaged or missing please advise IDS.
If additional technology is required for your event, please contact IDS service desk.

Loading bays are located out the front of the building for drop-off and pick-up only. Loading areas are not available for parking.
A first aid room is located on the ground floor and accessible via the Customer Service team, Security, or other designated first aider within the building.
First aid officers are generally available on each floor. First aid kits are available on each floor and located at the southern end of the east and west corridors.
In case of Emergency dial 000 or 0-000 from an internal phone and then notify Security (or press the Security speed dial button from an internal phone - will divert to Bedford Park if required)
Please ensure you play the Flinders at Tonsley Emergency evacuation video to your guests/audience.
Please raise a Service One maintenance request to report any issues, faults or to request after hours service.
Additional cleaning services Monday to Friday and on weekends may be subject to additional charges. For more information or to request a quote for cleaning services please submit a Service One cleaning enquiry.
Security or additional security services may be required under some circumstances, for example, for events taking place after 10pm Monday to Friday. All weekend bookings require Security to be present, this will incur an extra charge. For more information, please contact Security.
Please note, it is the responsibility of the event organiser to cover any associated costs for additional out of hours services.
H-frames are available on request. Please do not place signs on windows, doors, glass or concrete surfaces including lifts.

Flinders at Tonsley reserves the right to reallocate any event to an alternative room, or to cancel any booking at any time if it disrupts the University's core business of teaching.
